ANNUAL CONFERENCE PROGRAM

Q: What dates will the virtual conference be held?
A: NCRA’s Virtual 2020 Annual Educational Conference will be held September 21-23, 2020. It is a virtual conference only; there is no in-person conference in 2020.

Q: Will the virtual conference have the same sessions and speakers?
A: NCRA plans to offer the original Educational Sessions with some time adjustments to address a virtual platform. In addition to the presentations, live Q&A with speakers will be available at the end of each session. Presentations will be available on-demand as archived sessions through December 31, 2020. NCRA also plans a virtual exhibit hall, online basket raffles, and virtual networking opportunities.

Q: How many CEs can I earn?
A: The conference program includes two days of plenary sessions and a third day with four, concurrent symposia. Just over 29 CEs will be available. This includes both live and on-demand sessions. A process will be available to claim CEs and to access a certificate of attendance.   

ANNUAL CONFERENCE REGISTRATION 

Q: How do I register for the NCRA’s Virtual 2020 Annual Virtual Conference?

Q: I am a member who is currently registered for the in-person conference, and I want to attend the virtual conference. What do I need to do?
A: NCRA will transfer all member in-person full-conference registrations to the virtual-conference registration and either 1.) refund the balance or 2.) retain the balance and consider the balance as a full-registration payment for the 2021 Annual Educational Conference in Indianapolis on June 2-5, 2021. This option allows existing paid member registrants to participate in two conferences for the price of one! NCRA will send all current registrants an e-mail directly to determine next steps. All refund requests must be received by August 21, 2020. IMPORTANT: This registration option is not transferable to another registrant or to another year. Meanwhile, see information below on managing hotel reservations.

Q: I am nonmember who is currently registered for the in-person conference, and I want to attend the virtual conference. What do I need to do?  
A: NCRA will transfer all nonmember full-conference registrations to the virtual-conference registration and either 1.) refund the balance or 2.) retain the balance as a credit towards any registration payment for the 2021 Annual Educational Conference in Indianapolis on June 2-5, 2021. NCRA will send all current registrants an e-mail directly to determine next steps. All refund requests must be received by August 21, 2020.  IMPORTANT: This registration option is not transferable to another registrant or to another year. Q: I was registered for the conference and cancelled my registration. I want to attend the virtual conference. What do I need to do?
A: Those who cancelled their registrations received a refund. If you would like to attend the virtual conference, please register.

Q: I am member who purchased a one-day, in-person registration and plan to attend the virtual conference. What do I need to do? 
A: NCRA will transfer all one-day conference registrations to the virtual-conference registration and either 1.) refund the balance or 2.) retain the balance as a credit towards any registration payment for the 2021 Annual Educational Conference in Indianapolis on June 2-5, 2021. (One day registrations are not available for the virtual conference.) NCRA will send all current registrants an e-mail directly to determine next steps. All refund requests must be received by August 21, 2020.  IMPORTANT: This registration option is not transferable to another registrant or to another year. Q: I am currently registered for the in-person conference, and I do NOT plan to attend the virtual conference. What do I need to do?
A: You may defer your registration to the 2021 Annual Educational Conference in Indianapolis on June 2-5, 2021 or cancel and request a full refund. Please complete the online survey. Refund amount is equal to the full amount paid at the time of registration. All refund requests must be received by August 21, 2020 and will be processed as they are received. Meanwhile, see information below on managing hotel reservations.

Q: I am currently registered for the Fundamentals of Abstracting (FOA) Workshop. What do I need to do? 
A: NCRA will not be offering the 2020 FOA Workshop virtually. NCRA has transferred your FOA 2020 registration to the in-person 2021 FOA Workshop on June 3-5 in Indianapolis. If you prefer a refund, please complete the online survey. All refund requests must be received by August 21, 2020. Meanwhile, see information below on managing hotel reservations.

Q: I am currently registered for the CTR Exam Prep Workshop. What do I need to do? 
A: NCRA will be offering the CTR Exam Prep Workshop virtually and has transferred your registration to that virtual event. The date will not be September 20 as originally planned. Workshop details will be available soon. If you prefer a refund, please complete the online survey.  All refund requests must be received by August 21, 2020. Meanwhile, see information below on managing hotel reservations.

Q: I am currently registered for the Package of CTR Exam Prep Workshop and Fundamentals of Abstracting (FOA) Workshop. What do I need to do? 
A: NCRA will be offering the CTR Exam Prep Workshop virtually and has transferred your registration to that virtual event. The date will not be September 20 as originally planned. Workshop details will be made available soon. NCRA will not be offering the FOA Workshop virtually in 2020. NCRA has transferred that portion of your registration package to the in-person 2021 FOA Workshop on June 3-5 in Indianapolis. If you prefer a refund for the full package or either portion, please complete the online survey.  All refund requests must be received by August 21, 2020. Q: I am currently registered to attend the SEER Workshop. What do I need to do? 
A: SEER is currently deciding how it may move forward with a virtual workshop. More details will be provided soon. If you are a current SEER Workshop registrant, your registration will remain. Meanwhile, see information below on managing hotel reservations.

Q: I am currently planning to attend the CDC-NPCR ETC Workshop. What do I need to do? 
A: CDC-NPCR is currently deciding how it may move forward with a virtual workshop. More details will be provided soon. NPCR will reach out to registrants of their ETC conference workshop directly on next steps. Meanwhile, see information below on managing hotel reservations.

ANNUAL CONFERENCE HOUSING & TRAVEL

Q: How do I cancel my hotel reservation at the conference venue hotel? 
A: You will need to contact the conference venue directly to cancel your hotel reservation. Per their policy, “To receive a refund of your deposit, including credit card deposit transactions, we must receive notice of cancellation from you at least five days before your arrival date. To cancel a room reservation, call (407) 939-4686. Please note that if you are holding any other types of reservations, such as dining reservations, those reservations will not be cancelled unless you also advise us to cancel them.” If you have a reservation at another hotel, you will need to reach out to your booking site or that hotel and cancel your reservations directly. Also, as a reminder, if you are cancelling your plans in the Orlando area, remember to cancel your air reservations accordingly. You should contact your carrier directly and follow their guidelines regarding the cancellation of flights. Many airlines are waiving cancellation and/or change fees for flights.

Q: I want to keep my hotel reservations. Is that possible?
A: If you have not yet cancelled your reservation at Walt Disney World® Resort; Disney's Coronado Springs Resort your hotel reservation has been transferred to Disney's Yacht Club Resort at the NCRA Conference Rate. If you do not want to maintain your reservation you must cancel at least five days prior to your arrival date for a full refund by calling 407-939-4686.  If you have a reservation at another hotel or booked outside the NCRA block, you will need to reach out to your booking site and modify your reservations directly. 

Q: I pre-purchased theme park tickets. What are my options?
A: Theme park tickets purchased by our attendees for use over NCRA’s meeting dates will automatically be extended to use on any date through September 26, 2021 (subject to general terms and conditions applicable to all tickets, which will not be any more restrictive than the terms applicable to tickets purchased by the general public). Any NCRA attendee who is unable to (or chooses not to) visit and use such theme park tickets by September 26, 2021, may apply the value of each wholly unused ticket toward the purchase of another ticket for a future date or receive a full refund, at each attendee’s request, of the purchase price for such wholly unused tickets. To request such a refund, you may call 407-566-5600 and identify yourself as an NCRA attendee by providing your ticket confirmation number. Attendees may also call 407-WDW-DINE to request cancellations (for a full refund) of any dining reservations over NCRA Meeting dates at Disney Destinations owned-and-operated restaurants.

ANNUAL CONFERENCE EXHIBITORS

NCRA’s Virtual 2020 Annual Educational Conference will have a virtual exhibit hall! The online marketplace will provide an opportunity to showcase products and services.   

Q: I am currently scheduled to exhibit and/or have a sponsorship for the in-person Annual Conference. What do I need to do?
A: Caitlin Irvin will communicate directly with current exhibitors on the virtual exhibit hall and provide information on next steps. All exhibitors should manage any conference registrations and/or cancel hotel reservations as noted above.

Q: I am not currently scheduled to exhibit at the Annual Conference but would like to part of the virtual exhibit hall. What can I do?
A: E-mail Caitlin Irvin at cirvin@ncra-usa.org for details on the virtual exhibit hall.  

ANNUAL CONFERENCE SPEAKERS

Q. I am a scheduled to be a presenter for one of the educational sessions. What do I need to do?
A. Robin Havens will communicate directly with presenters on next steps, including the process and deadlines for preparing presentations for the virtual conference. All presenters should manage any conference registrations and/or cancel hotel reservations as noted above.

OTHER QUESTIONS

Q. Will the Basket Raffle Program still be offered?
A: Yes. NCRA will work with the state associations on next steps regarding the Virtual Basket Raffle Program!

Q: Will there be networking opportunities?
A: Yes. NCRA is allotting time on each conference day for virtual events to provide networking opportunities.
